2. Introduction:

Mantis Akagera Game Lodge is dedicated to ensuring the highest level of safety and quality in our food and beverage operations. To strengthen our commitment to food safety and hygiene, we are seeking a qualified consultant or consultancy firm to assist us in implementing HACCP principles and achieving HACCP certification.

3. Scope of the work:

Interested consultant (s) will be responsible for the following tasks:

• Conducting a comprehensive assessment of our current food safety practices and processes
• Developing and implementing a customized HACCP plan tailored to our specific needs
• Providing training to our staff on HACCP principles and best practices
• Conduct regular audits and inspections to ensure compliance with HACCP standards
• Preparing and guiding us through the certification process
• Providing ongoing support and guidance to maintain HACCP certification
• Baseline/Gap audit/Assessment
• Risk assessment  
• Awareness/sensitization training on (HACCP), Introduction to HACCP, Importance/Benefits of HACCP, Preparing for HACCP, Introduction to hazards-their significance and control, How to do a HACCP study, Putting the HACCP plan into practice,….
• HACCP & Quality Management System Training
• Food safety and hygiene Training, Health safety training
• Development of quality manual, procedures, work instructions and schedules, installation/implementation
• Internal audits and external audit shadowing
• Guidance on the closure of nonconformities identified during the internal audit
• Gap analysis and development of all procedures
• Prepare HACCP documentation
• Assist in closing non-conformities of external certification/certification audit(Rwanda Standards Board audit).

4. Tender submission requirements: 

1. Parties wanting to express their interest must have at least 3 years of experience in consultancy services for HACCP implementation and certification as a registered company. The experience is proven by the (RDB) registration, and the Work Completion Certificates of similar works
2. Parties should prove they are VAT registered and their tax payments are up-to-date (tax clearance certificate), for private companies. 

5. Submission of Application:

Participation in the competition is open on equal terms to all parties for this call for Expressions of Interest.

Interested parties are requested to submit:

1. A cover letter expressing your interest in this project
2. Company profile detailing your experience in HACCP implementation and certification.
3. A detailed proposal outlining your approach, methodology, and timeline
4. A breakdown of the proposed budget and fee structure
5. Signed and stamped Work Completion Certificate(s) of relevant works provided by previous clients
6. Company registration certificate provided by Rwanda Development Board
7. Valid VAT certificate for private companies,
8. Any relevant certifications or accreditations held by your organization.

2. Proposal Submission Deadline: 14/10/2023
3. Evaluation and Vendor Selection: 17/10/2023
4. Project Commencement Date: 25/10/2023

7. Evaluation Criteria: Proposals will be evaluated based on the following criteria:

1. Experience and expertise in HACCP implementation and certification
2. Proposed methodology and approach
3. References and record of accomplishment
4. Cost-effectiveness.
