Plan International Rwanda, supply chain unit wishes to embark on a Market assessment/survey in a bid to gather information about the current prices for goods and services that are frequently purchased in Plan International Rwanda as a major factor in maintaining competitiveness and strategic procurements.  It serves as a foundation for strategic planning and ensures that a business' efforts are aligned with the ever-changing market landscape.

  1. Purpose/Objective
  • To carry out a market survey for the commonly purchased goods and services at Plan International Rwanda
  • To get a report on the current prices for each of the items in the different categories, The report shall be a future reference for us when we target the market for our procurements.
  1. Scope of Work

This service will be carried out to cover the markets in Kigali, Huye, Gatsibo, and Bugesera Districts, and the Categories include:

  • IT equipment (laptops, desktops, Toners etc)
  • Office stationery (e.g.: Cartridges, Ream of papers etc.……)
  • Sundries/Groceries (e.g.: Sugar, Rice, oil, Soap etc……)
  • Dignity Kits
  • Vehicle hires
  • Hotel services
  • Catering services
  • Medical equipment
  • Sports and recreation
  • Events
  • Cleaning and safety equipment (including firefighting materials)
  • Printing/graphics/Branding (e.g: visibility materials)
  • IEC (information, Education, and Communication) Materials
  • Media outlets
  1. Schedule

The market survey exercise shall be done for a period of 3 weeks starting the signing date of the contract

4. Expected outcome

  • List of prices for the different items (with categories) purchased at Plan International Rwanda
  • Market survey reports as per Program Unit (district) endorsed by Plan International Rwanda, Logistics and Administration Manager

5.Technical proposal

The applicants should submit and will be evaluated on the below criteria:

  • Legal Business/Company Registration certificate.
  • VAT registration Certificate
  • A copy of the most recent tax clearance certificate
  • A copy of a valid trading license for the current financial year.
  • Recommendation Letters from Previous Clients for the past 5 years.
  • Experience in providing Market Price Surveys for Organizations.
  • Company profile and available services.
  • A detailed narrative description of the company's history, ownership structure, capacity, and past performance

Financial Proposal

  • Itemized service provision fees and related itemized administration expenses,
  • Expected payment method,
  • The validity of the offer.

Interested bidders should submit their offer in sealed and separate Technical and Financial Proposals, clearly marked ‘’Market Survey” by hand not later than 3:00 PM of 4th October, 2023 to the address below
