Job Description
The Operations Director is responsible for the operations described below and reports to the Head of School. The Director serves on the Senior Leadership Team and collaborates with other senior leaders to ensure the smooth operation of GHA. The Director contributes to strategic planning and to achieving strategic goals.
Facilities Management
• Liaises with construction project leaders
• Assesses and plans strategically for facilities development, management and maintenance
• Manage buildings and grounds maintenance
• Manages custodial services
• Supervise maintenance staff
• Develops facilities budget in collaboration with the Head of Finance and Head of School and manages the budget
Facilities Rental
• Manages the rental of facilities
• Promotes and advertises facilities for rent
• Develops facilities rental budget in collaboration with the Head of Finance and Head of School and manages the budget
Procurement
• Provides managerial oversight for a wide range of procurement, supply chain management and inventory management functions
• Establishes and maintains internal controls to ensure compliance with procurement policy and procedures
• Manages and establishes controls for the purchasing functions including planning, forecasting, acquisition, quality assurance, continuous process improvement, contract administration and contract law
• Leads the sourcing process and designs specific tendering strategy in line with the procurement policy guidelines including tendering, negotiating
• Responsible for the development and implementation of the procurement plan to ensure all procured goods, works or services are within the approved budget
• Ensures that the approved supplier list, spend analysis, market testing and best practice are shared within the School and actively used
• Ensures resolution of issues related to vendor performance in delivery of goods and services
• Negotiates with suppliers to obtain the best possible purchasing terms and conditions
• Ensures ongoing monitoring and evaluation of vendors through supplier performance metrics and proactive management of the results
• Manages supplier non-conformance and supplier audit
• Ensures best practice frameworks are in place to deliver value for money
• Identifies and secures savings across a number of areas of expenditure
• Supervises and evaluates Procurement Office staff members
Fixed Assets Management
• Records and tracks fixed assets
• Conducts physical inventories to validate the accuracy of the records
• Ensures the security of fixed assets
Safety and Security
• Conducts safety and security audits and risk assessments and takes appropriate actions to ensure compliance and safety
• Develops and updates an Emergency Operations Plan
• Develops and leads a Health and Safety Team
• Manages security services
• Updates the Fire Evacuation Plan as needed and conducts fire safety training and fire drills
• Oversees pick up and drop off and traffic control during pick up and drop off
Transportation Services
• Manage transportation services
• Supervise the Head Driver
• Promotes transportation services to parents
• Develops transportation services budget in collaboration with the Head of Finance and Head of School and manages the budget
Food and Beverage Services
• Oversees food and beverage service
• Supervises the Head of Kitchen
• Develops food and beverage services budget in collaboration with the Head of Finance and Head of School and manages the budget
Requirements
Qualifications, Skills and Attributes
• Bachelor’s degree in business, management, administration or a related degree
• Track record of successfully managing the complex operations of a large institution
• Experience in managing and developing staff
• Commitment to GHA’s mission and vision
• Excellent communication skills in English and Kinyarwanda
• Three years of professional work experience, ideally in a school, or transferable experience from another private or public sector organization
• Organized planner and project manager with proven ability to multitask, take initiative, prioritize effectively, and deliver for multiple stakeholders on deliverables and deadlines
• Procurement, budgeting and financial management experience
• Facilities management experience
• Technology skills, preferably in Google Workspace
• Skill in and/or ability to learn new information management systems
• Orientation to make decisions in the best interests of students
• Goal-driven, accountable and reliable
• Strong attention to detail and follow through
• Humble, self-aware, enthusiastic, persistent, flexible, entrepreneurial and a constant learner
• Proactive and creative problem-solver
• Ability to identify, analyze and recommend solutions to problems
• Capacity to work well with staff, students, parents and the community
