Context:
Under the overall supervision of the Resource Management Officer (RMO) and direct supervision of Senior Finance and Admin Assistant, the incumbent will be responsible for the carrying out of administrative and financial tasks at IOM Rwanda’s Resource Management Unit. The role is multi-faceted and entails a range of different responsibilities. .

Core Functions / Responsibilities:
• Submit VAT claims electronically and Reconcile VAT claims refunded by the government with vendors and General Ledger account
• Create and maintain an orderly filing system – both electronically and in hard copy according to IOM general guidelines;
• Monitor and verify billing of staff for the private use of IOM assets such as personal calls and ensure recording in PRISM
• Follow-up with staff to ensure timely submission of computed Travel Expense Claims (TECs) as soon as they return from TDY and ensure TECs are computed in accordance with IOM Travel Rules and Regulations.
• Perform Data Entry in PRISM ensure that costs have been correctly captured the relevant WBS.
• Assist in planning logistics for training, workshops, and meetings coordination with the relevant unit.
• To be the custodian of stationary stock including taxi books and office supplies and maintain a log for the same.
• Assist with day to day tasks and special Requests from another unit.
• Provide general admin support to RMU Team.
• Perform any other related task as may be assigned.

Required Qualifications and Experience
• Bachelor’s Degree in Finance related field from a recognized institution with one-year relevant experience in Finance and Administrative position or,
• Secondary School Diploma with at least three years of relevant working experience.
• Solid computer skills, including proficiency in MS Office Packages (Office, Excel, Powerpoint, outlook) internet and E-mail
• Personal commitment, efficiency, and results-driven.
• Sound administration and organizational skills with strict attention to detail.
• Ability to work in a highly confidential manner
• Strong interpersonal skills and ability to work as part of a diverse team.
• Flexible and able to adapt quickly to new, different environments
• Solid computer skills, including proficiency in MS Office Packages (Office, Excel, Powerpoint, outlook) internet and E-mail
• Strong interpersonal and intercultural skills with proven ability to work effectively and harmoniously with a diverse team.
• Mature individual, able to work independently under pressure, able to maintain accuracy, paying attention to details, meeting deadlines and working with minimal supervision.
• CPA/ ACCA qualifications is an added advantage
Languages
Fluency in English is required. Knowledge of French is an added advantage
