Job Category Foreign and Commonwealth Office (Operations and Corporate Services) Job Subcategory Protocol, Visits and Events Job Description (Roles and Responsibilities) Main purpose of job: To help deliver the logistics for the 2020 Commonwealth Heads of Government meeting on behalf of the British High Commission in Kigali. As a member of the core Summit logistics delivery team, you will be one of a number of officers responsible for a specific areas of logistics, and will work closely with other colleagues across the British High Commission, the Foreign and Commonwealth Office in London, as well as external stakeholders such as the Ministry of Foreign Affairs in Kigali, the Commonwealth Secretariat and the Metropolitan Police. You will need to be flexible and adaptable to ensure that multiple VIP visitors are able to participate successfully in the week. The work will be fast paced and demand a high degree of accuracy and creativity including the ability to problem solve at short notice. .

Job Responsibilities:
• In June 2020 the Government of Rwanda will host the Commonwealth Summit. This is a high profile, large scale, ambitious, international event involving the attendance of up to 53 Heads of Government and their Foreign Ministers, and a large number of other delegates, including other ministers, civil society and press. The UK is currently Commonwealth Chair in Office and is supporting Rwanda to deliver a successful summit.
• The Commonwealth Summit 2020 will be one of, if not the, largest summit ever held in Rwanda. The organisational/logistics demands will be considerable and the logistics officer will play a key role in supporting a large UK delegation.
• As a Summit Logistics Officer, you will be responsible for working on a range of logistical areas including, but not limited to protocol, transport, IT, accommodation etc. to ensure successful logistics for the Commonwealth Summit 2020. You will lead on the project management of your allocated areas of work, liaising effectively with key stakeholders and monitoring progress of delivery plans, and managing junior members of staff if required. You will need to maintain a clear focus on spend, ensuring targets are met and all spend is accounted for, and work to identify the procurement needs for your area of work
• You will thrive in this position if you are a self starter with plenty of common sense and good communication skills. In addition you will need excellent organisational skills and a strong focus on delivering results. A willingness to be flexible and get involved in a wide range of tasks is a must. A team player who works well under pressure, you should have an eye for detail and be able to work without constant supervision. You need to be able to process lots of information quickly and act upon it, referring and reporting up the chain as necessary. The contract runs until the end of July 2020 to ensure that financial and other organisational obligations are met and that lessons learnt are written up.
