The National Agricultural Export Development Board (NAEB) would like to recruit self-motivated and qualified candidates to fill the following positions.
Responsibilities or duties
Under the overall guidance and supervision of the Director of Administration and Finance, the Central Secretariat officer will perform the following duties:
- Office administrative duties such as typing, correspondence, and reports, picking up and distributing mail/division materials, filing, copying, faxing, and contacting;
- Performs financial administration duties for the department which include preparing and submitting invoices for payment, and preparing purchase requisitions, purchase orders, and other related records;
- Prepares requisitions, vendor master forms, and other related purchasing forms;
- Maintains filing system for the Administration and Internal Support Divisions;
- Types and closes out requisitions and purchase orders; orders office supplies as needed;
- Receives, processes, and forwards work order requests;
- Maintains repair logs on copiers and telephones & performs other duties as assigned.
- Ensures that replies are sent in a timely manner and keeps record of all mail sent and all documents given for signature and/or information.
- Creates and maintains the filing and reference systems in conformity with the criteria applicable under various procedures;
- Ensures efficient and effective internal and external communication;
Qualifications or requirements (e.g., education, skills)
- Bachelors’ degree in secretarial studies and Office Management
- Ability to work under minimum supervision;
- Ability to prepare insightful reports;
- Teamwork savvy;
- Ability to relate well with others;
- Ability to maintain neat documentation and filing;
- Fluent in Kinyarwanda, English and / or French
