About Us

GAMICO Mining Company is one of the leading tin producers in Rwanda, operating at the Bashyamba concession in Kigali Sector, Nyarugenge District. With more than ten years of experience, we have built a strong reputation for quality production, safe operations, and responsible mining. We are committed to environmental stewardship and to the development of the communities in which we operate. As we continue to grow, we are looking for a detail-oriented and proactive Procurement Officer to join our team and help us source mining equipment, materials, and services efficiently, transparently, and at the best value.

Key Responsibilities

Purchase Requests and Planning

  • Receive purchase requests from the stores and departments, and confirm that each one is properly completed and approved before any action is taken.
  • Check the item description, specification, quantity and budget availability on every request.
  • Plan purchases using stock levels and supplier lead times, and place orders in good time—ideally two weeks before consumable stock runs out—so nothing runs short.
  • Combine similar requests where possible to obtain better prices and reduce the number of orders.

Sourcing and Quotations

  • Follow the procurement method set out in the company's Procurement Manual for every purchase, and obtain the quotations or bids that the method requires.
  • Identify and maintain a list of reliable, approved suppliers for all goods, materials, equipment and services needed by the company.
  • Compare the quotations or bids received on price, quality, delivery time and payment terms, and prepare the comparison for approval as required by the Procurement Manual.
  • Negotiate prices and terms with suppliers in the best interest of the company, within the limits of the Procurement Manual.
  • Confirm that the selected supplier is registered and can issue a valid EBM invoice.

Purchase Orders

  • Prepare and issue a PO to the selected supplier only after the purchase has been approved.
  • State on every PO the item description, quantity, unit, agreed price, delivery date and delivery place.
  • Record every PO in the Excel PO register, showing PO number, supplier, items, amount, order date, expected delivery date and status.
  • Follow up with suppliers to make sure goods are delivered on the agreed date, and inform the requesting department and the store of any delay.

Delivery, Invoices and Payment Support

  • Work with the Store Keepers and the Equipment Store Officer to make sure every delivery is physically counted and matched against the PO, the supplier delivery note and the EBM invoice, and that the price agrees before the invoice is passed for payment.
  • Resolve shortages, damaged goods, wrong items and price differences with suppliers, and arrange returns, replacements or credit notes.
  • Hand over the complete set of documents (PO, delivery note and EBM invoice) to the Equipment Store Officer for receiving in QBO, and to Finance for payment.

Supplier Management

  • Evaluate supplier performance regularly on quality, delivery time, price and service.
  • Handle any claim about the quality of goods supplied directly with the supplier, supported by the Store Keeper's and the user department's records.
  • Keep supplier contracts, agreements and contact details up to date and filed.
  • Report poor or unreliable suppliers to the Procurement Section Leader, with a recommendation on whether to continue buying from them.

Records and Reporting

  • Keep all procurement documents (requests, quotations, comparisons, POs, delivery notes, EBM invoices) filed in order and available for audit.
  • Prepare a weekly and monthly procurement report showing purchases made, pending orders, late deliveries and cost savings.

Ethics and General Responsibilities

  • Act with honesty and integrity, and avoid any conflict of interest in dealing with suppliers.
  • Do not accept gifts, favours or payments from suppliers or potential suppliers.
  • Follow company procurement policies and procedures, and the applicable laws and tax requirements.
  • Perform any other related duties assigned by the Procurement Section Leader.

Qualifications and Experience

  • Bachelor's degree in Procurement, Supply Chain Management, Business Administration, Economics or a related field
  • [2-3] years of relevant procurement experience, preferably in mining, construction, or another heavy industry
  • Professional certification (e.g., CIPS) is an added advantage
  • Solid knowledge of procurement procedures, contract management, and tendering processes
  • Familiarity with mining equipment and supply chains is an added advantage
  • Strong negotiation, analytical, and communication skills

What We Offer

  • Competitive salary commensurate with experience
  • Health insurance
  • Opportunities for professional development and career growth
  • A safe, collaborative, and supportive work environment
