Job Description
The School Secretary will provide administrative and clerical support to the school administration, staff, students, parents, and visitors. The role involves managing the main office, handling communications, maintaining records, supporting school reporting and activities, and ensuring the smooth day-to-day operation of the administrative office.
Key responsibilities include:
- Welcome and direct visitors, parents, and students.
- Answer phone calls, respond to inquiries, and relay messages.
- Manage incoming and outgoing mail, filing systems, and office supplies.
- Assist with school reporting and administrative documentation.
- Prepare and distribute newsletters, bulletins, announcements, and other communications.
- Support parent-teacher conferences, orientations, and school events.
- Work with teachers, administrators, and staff to address administrative needs.
- Maintain confidentiality of student and personnel information and comply with data protection requirements.
- Perform clerical duties such as typing, photocopying, scanning, filing, data entry, and document preparation.
- Provide administrative support to school leadership and staff on projects, research, and other assignments.
- Promote and uphold the school's mission, values, and policies.
- Work flexibly beyond normal hours when required for the smooth functioning of the school, with equivalent rest days for additional hours worked.
Job Requirements
Education
Bachelor's degree in Business Administration or an equivalent qualification is required. Additional certification in Office Administration or Secretarial Studies is preferred.
Experience
5 years of practical work experience, including proven experience in a similar administrative role. Experience within an educational environment is preferred.
Skills and Competencies
Strong organizational and time-management skills, excellent attention to detail, effective communication and interpersonal skills, and the ability to manage multiple priorities in a fast-paced environment.
Computer Skills
Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook, as well as database management software.
Communication
Fluency in English and Kinyarwanda is required. Knowledge of additional languages is an advantage.
Confidentiality
Ability to handle sensitive student and personnel information with discretion and maintain confidentiality in accordance with data protection requirements.
Additional Knowledge
Knowledge of basic accounting procedures and financial record-keeping is desirable.
Work Style
The candidate should be adaptable, independent, reliable, customer-service oriented, positive, and able to work effectively as part of a team.
Location
Bugesera, Eastern Province, Rwanda, with intermittent travel throughout the East African Region.
