DEVELOPMENT OF CASE STUDIES, SUCCESS STORY VIDEO, AND MARKETING VIDEOS FOR KIIWP 2

Introduction

Cordaid, under the Kayonza Irrigation and Integrated Watershed Management Project, Phase Two (KIIWP 2), seeks to engage a qualified firm to produce high-quality communication materials to showcase the project’s impact and successes. These materials include six narrative case studies, one success story video, and five marketing videos for partner financial institutions. The deliverables will highlight solutions, achievements, and partnerships fostered by KIIWP 2 in Kayonza District, Rwanda, to promote climate resilience, farming as a business, food security, and cooperative development. All deliverables are expected to be completed between June 1 and June 20, 2025.

Background

The KIIWP 2 project, led by the Ministry of Agriculture and Animal Resources and implemented through the Rwanda Agriculture and Animal Resources Development Board, aims to alleviate poverty and enhance food security in the drought-prone Kayonza District. Targeting 40,000 rural households, the project promotes climate-resilient agricultural practices, improves food production, and strengthens cooperative structures. Cordaid’s role includes fostering entrepreneurial mindsets among smallholder farmers, providing training, and supporting 50 cooperatives in value chains such as maize, rice, horticulture, cassava, soya, beans, and potatoes.

This assignment will produce compelling, visually appealing materials to document and promote KIIWP 2’s transformative solutions and partnerships.

Objective of the Assignment

The primary objective is to engage a firm to produce high-quality, impactful communication materials that:

  • Document and communicate learning and the innovative solutions and successes of KIIWP 2 through six narrative case studies.
  • Showcase the project’s achievements and human impact through a 3–4-minute success story video.
  • Promote partnerships with financial institutions through four 2–4-minute marketing videos.
  • Enhance visibility and stakeholder engagement for KIIWP 2’s goals of poverty alleviation, food security, and cooperative development.

Scope of Work

The selected firm will undertake the following tasks within the 20-working-day timeline (June 1–June 20, 2025):

4.1. Production of Case Studies

  • Research and Content Development: study the project reports and conduct interviews with farmers, cooperative members, leaders, project staff, FFS coaches, business development advisors (BDAs), relevant buyers, local authorities, financial institutions, local organisations and other relevant project partners to gather data on KIIWP 2’s solutions and impact.

Based on the findings from the above, identify, writing and Design six narrative case studies (2–3 pages each) highlighting learnings and innovative solutions (e.g., climate-resilient farming, cooperative empowerment, or improved market or finance access). Each case study should include:

  • Compelling storytelling with a focus on human impact.
  • High-quality infographics, visuals, and data representations.
  • Professional layout and branding aligned with Cordaid and KIIWP 2 guidelines.

Review and Finalization: Incorporate feedback from Cordaid and KIIWP 2 stakeholders to ensure accuracy and alignment with project objectives.

4.2.Production of Success Story Video

  • Concept Development: Design a 3–4-minute video concept showcasing KIIWP 2’s achievements, such as improved livelihoods, cooperative growth, and climate resilience.
  • Filming and Interviews: Capture high-quality footage in Kayonza District, including interviews with project stakeholders such as farmers, cooperative leaders, project staff, FFS coaches, business development advisors (BDAs), relevant buyers, local authorities, financial institutions, local organisations and others.
  • Editing and Post-Production: Produce a polished video with professional editing, subtitles, voiceovers, and music, ensuring alignment with Cordaid’s branding.
  • Accessibility: Provide versions with English and Kinyarwanda subtitles.

4.3. Production of 5 Marketing Videos

  • Concept Development: Create concepts for four 2–4-minute marketing videos tailored to partner financial institutions, highlighting opportunities for collaboration with KIIWP 2 cooperatives.
  • Filming and Production: Film engaging content showcasing cooperative successes, financial inclusion, and partnership benefits.
  • Editing and Post-Production: Deliver polished videos with professional visuals, branding, and clear calls to action for financial institutions.
  • Accessibility: Provide versions with English and Kinyarwanda subtitles.

4.4. Stakeholder Engagement

  • Coordinate with Cordaid, KIIWP 2 project staff, and cooperatives to ensure content accuracy and relevance.
  • Ensure culturally sensitive and inclusive representation of beneficiaries.

4.5. Monitoring and Reporting

  • Provide weekly progress updates to Cordaid during the assignment.
  • Submit a final report summarizing the development process, challenges, and outcomes.

Deliverables

The firm will provide the following deliverables by June 20, 2025:

Six Narrative Case Studies:

  • 2–3 pages each, well-designed with infographics and visuals.
  • Delivered in PDF and editable formats (e.g., Word, InDesign).

One Success Story Video:

  • 3–4 minutes, high-definition, with English and Kinyarwanda subtitles.
  • Delivered in MP4 format and raw footage provided to Cordaid.

Five Marketing Videos:

  • 2–4 minutes each, high-definition, with English and Kinyarwanda subtitles.
  • Delivered in MP4 format and raw footage provided to Cordaid.

Progress Reports:

  • Weekly updates on tasks, challenges, and milestones.

Final Project Report:

  • A comprehensive report summarizing the development process, stakeholder engagement, and outcomes.

Payment Modalities

Payments will be made in Rwandan Francs (RWF), inclusive of VAT, based on the following milestones:

  • 30% upon submission and approval of a detailed work plan and storyboards/scripts for all deliverables.
  • 40% upon submission and approval of draft case studies and video rough cuts.
  • 30% upon submission and approval of all final deliverables and the final project report.

All payments are subject to Cordaid’s satisfaction with the deliverables.

Follow-Up Procedures

The firm will:

  • Provide digital copies of all materials to Cordaid for distribution to stakeholders.
  • Offer one virtual training session for Cordaid staff and relevant stakeholders on using and disseminating the materials.
  • Address any minor revisions to deliverables within one month post-submission, if required.

Monitoring and Evaluation

The firm will:

  • Ensure deliverables meet Cordaid’s quality standards and branding guidelines.
  • Incorporate feedback from Cordaid and KIIWP 2 stakeholders during draft reviews.
  • Provide analytics (if applicable) on video engagement post-distribution.

Confidentiality and Proprietary Rights

  • All materials produced under this assignment will become the property of Cordaid and KIIWP 2.
  • The firm must maintain confidentiality and cannot disclose proprietary information without prior written consent from Cordaid.

Duration

The assignment will commence on June 1, 2025, and conclude with the submission of all deliverables by June 20, 2025 (20 days).

Qualifications of the Service Provider

Firm Qualifications

The ideal firm should have:

  • Minimum of 5 years’ experience in producing communication materials (case studies, videos, and marketing content).
  • Proven experience in developing at least three similar projects, preferably in agricultural or development contexts.
  • Expertise in storytelling, videography, graphic design, and content creation.
  • Strong project management and stakeholder coordination capabilities.
  • Familiarity with Rwanda’s agricultural and cooperative landscape, particularly in Kayonza District.
  • Experience working with NGOs or development organizations.

Team Composition

Project Manager:

  • Bachelor's degree in communications, Business Administration, or a related field.
  • Experience managing multimedia projects and coordinating with diverse stakeholders.
  • Strong organizational and leadership skills.

Content Writer/Storyteller:

  • Degree in Journalism, Communications, or a related field.
  • Proven experience in writing compelling narrative case studies.
  • Understanding of development and agricultural contexts.

Videographer/Editor:

  • Degree in Film Production, Media, or a related field.
  • Expertise in filming, editing, and post-production (e.g., Adobe Premiere Pro, Final Cut Pro).
  • Experience producing high-quality videos for development projects.

Graphic Designer:

  • Degree in Graphic Design or a related field.
  • Strong portfolio demonstrating expertise in infographics and case study design.
  • Proficiency in design tools (e.g., Adobe Creative Suite, Canva).

Support Coordinator:

  • Experience in stakeholder engagement and logistics coordination.
  • Strong interpersonal skills for working with rural communities.

  • Technical Proposal: Outlining the approach to meeting the objectives, including a detailed work plan and timeline.

  • Portfolio: Examples of similar case studies and videos produced.
  • Proof of Concept: A sample storyboard or draft case study layout to demonstrate capability.
  • CVs: Of key personnel assigned to the project.
  • Certificates: RDB certificate, tax clearance, and data processor certificate.

Evaluation Criteria

Applications will be evaluated based on:

  • Technical Approach and Methodology (40%): Clarity, feasibility, and creativity of the proposed approach.
  • Relevant Experience and Qualifications (30%): Demonstrated expertise in similar projects.
  • Cost-Effectiveness (20%): Reasonableness and transparency of the financial proposal.
  • Innovation and Added Value (10%): Unique ideas or approaches to enhance impact.

Right of Withdrawal

Cordaid reserves the right to cancel or withdraw from negotiations with the selected firm under the following conditions:

  • If satisfactory agreements cannot be reached on terms, conditions, or scope of work.
  • If changes in project funding, scope, or timeline make the assignment unfeasible.
  • If the firm provides false or misleading information.
  • If the firm fails to meet required quality standards.
  • In case of external factors or force majeure events.

Cordaid will provide written notice outlining the reasons for withdrawal or cancellation.
