Job Purpose
The Executive Assistant will support the Executive Director and Village staff, with day-to-day support of their tasks and manage ASYV’s overall administrative activities.

Key responsibilities:
The role of the Executive Assistant is to serve as point person for the Village administration, with a primary focus on supporting the Executive Director and Village Staff by:
• Organizing and scheduling top management meetings, as well as taking accurate minutes
• Maintain Executive Director’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel
• Conduct background research and provide pertinent materials to prepare Executive Director for upcoming meetings and conferences
• Act as the primary liaison person to staff, partners, board, and other organs on behalf of the Executive Director
• Manage external communication with the board, partners, and high-level public officials.
• In the absence of the Executive Director, support the acting person and ensure that all requests for action and information are responded to in a timely and appropriate manner.
• Monitor, respond to and distribute incoming and outgoing electronic and hard copy communications on behalf of the Executive Director.
• Coordinate special donor tours and events for the Executive Director
• Prepare reports by collecting and analyzing information
• Prioritize and manage multiple projects simultaneously and follow up on issues in a timely manner
• Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications, and establishing personal networks
• Contribute to team effort by accomplishing related results as needed
• Anticipate upcoming administrative support needs with a view to enhancing time-management and minimizing rushed preparations
• Demonstrate professional discretion in all areas of work
• Prepare and coordinate Program Committee Calls and follow up on actionable items
• Stay up to date on guests’ visits and ensure that all stakeholders are aware and prepared for the tours
• Establish appropriate communication flow through the management and staff
• Assist in a wide variety of projects as assigned, and other reasonably related duties


Minimum Qualification Standards
• Bachelor’s degree in administration, law, or related field
• Minimum 2 years’ experience as an executive assistant or strong project management experience
• Exemplary planning, time management, and organizational skills with an ability to think proactively and prioritize work
• Experience turning content into well-designed presentations
• Strong communication & writing skills (via phone, email, and in-person)
• Experience exercising discretion and confidentiality with sensitive company and personnel information
• Ability to multitask
• Adaptable to changing environment
• Capable of working under minimum supervision
