Focus of the Role
TBI is looking to hire an exceptional and highly skilled Executive Assistant to the Country Office in Kigali, Rwanda. The role is full-time and involves providing high level administrative and advisory support to the Country Head and wider team. The person is expected to diligently and actively manage the work schedule of the Country Head, handle all the executive level communications and coordinate meetings and events while keeping close track of all action items.

Key Responsibilities
• Provide high-level administrative support for TBI team to ensure they can efficiently accomplish key tasks and deliver on the Institute initiatives.
• Manage the Country Head’s Schedule of meetings and assist in preparation of meeting agendas, capturing of minutes and following up on resolutions of meetings;
• Supporting the Country Head to manage information exchange and ensuring effective communication amongst staff, all stakeholders/counterparts in Government and Development Partners and with the Regional Director and Central teams;
• Facilitating in planning and scheduling regular TBI Team meetings, confirming appointments, and TBI/Counterpart reflection meetings, record minutes/capture resolutions and keep track of implementation of resolutions;
• Support the Country Head and the Delivery Manager in consolidating TBI monthly, quarterly and annual plans developed by experts and schedule monthly and quarterly review meetings with Country Head to ensure implementation is on track;
• Ensure experts are consistent in weekly, monthly and quarterly plan development and reporting;
• Oversee the learning and development proposals for the team and track facilitation for eventual performance management in liaison with the Country Head and the Delivery Manager;
• Support the Country Head in developing plan and calendar for expert team members stocktaking sessions in groups and one on one;
• Liaise with the People Team to facilitate the recruitment process scheduling interview dates, writing/sending invitations, including drawing recruitment calendar, taking recruitment/interview minutes for record;
• Support Country Head in ensuring knowledge of and adherence to TBI applicable operational systems and GoR requirements of TBI program strategy delivery;
• Support and work along with Country Head and Delivery Manager to manage team learning from relevant best practices through strong reporting, learning and M&E process.
• Draft correspondence to be sent on behalf of and signed by the Country Head.
• Assist the Country head with reports, presentations and follow-ups with major government counterparts, Development Partners and funding bodies/agencies;
• Support the Country Head in checking and ensuring that lattice weekly reports are regularly submitted and feedback to team members is given on a timely basis;
• Assist the Country Head with administering TBI’s policies and procedures and endeavour to undertake tasks that support the ongoing implementation of these policies and procedures. This would include collaborating with the Delivery Manager and the Finance and Operations Manager and the People Team.
• Ensure that urgent enquiries and emerging issues are brought to the Country Head’s attention in a timely manner.

Person Specification
• Should be competent with ICT tools and ready and willing to keep up-to-date with new technologies to enhance performance competence;
• Highly skilled at prioritising tasks and effectively communicating changing priorities on a timely basis;
• Experience and skilled in writing reports and executive briefs;
• Must uphold a high and strict level of confidentiality;
• Ability to manage multiple tasks and meet deadlines;
• Skilled at planning and, problem solving, as well as taking the initiative to e always ensure that the Country Head is on track with set timelines;
• Ability to maintain high levels of attention to detail and accuracy;
• Interpersonal skills and able to deal with a cross section of people in a collaborative manner;
• Willingness to learn and exploit all learning opportunities at your disposal;
• Previous delivery of support to senior management;
• Gains the confidence and trust of others through honesty, integrity, and authenticity;
• Easily builds strong client relationships and delivers client-centred solutions;
• Interacts with all stakeholders in ways that demonstrate respect of social and cultural differences, and a commitment to challenging any related social inequities;
• Experienced in the role of Executive Assistant or similar;
• Working knowledge of English is essential, while knowledge of French will be an added advantage.
