Ecoplanet Bamboo Rwanda Ltd is undertaking the restoration of Rwanda’s riparian buffer zones through a unique nature-based solution project, the Rwanda Riparian Restoration Project.
In addition to the Rwanda Riparian Restoration Project, our team is responsible for the implementation of the pilot ecosystem restoration of the bamboo forests of the Volcanoes National Park.
EcoPlanet Bamboo Group is the largest owner and operator of bamboo plantations globally with additional operations in Nicaragua, South Africa, Ghana and the Philippines.
Job Vacancy
Post Title: Human Resource and Administration (1 Position)
Location: Kigali, Rwanda.
Reporting to: General Manager
Deadline for application: 1st August 2025
Responsibilities:
- Scheduling and Calendar Management: Organising appointments, meetings, and events; managing calendars for the General Manager.
- Correspondence: Handling emails, phone calls, and other communications; drafting and proofreading documents.
- Data Entry and Management: Maintaining records, updating databases, and organising files (both physical and digital).
- Document Preparation: Preparing reports, presentations, memos, and other business documents.
- Meeting Support: Arranging meeting spaces, preparing agendas, taking minutes, and distributing notes.
- Policy Development: Assist in creating and updating administrative and HR policies.
- Supplies Management: Ordering and maintaining office supplies and equipment.
- Reception Duties: Greeting visitors, answering queries, and directing people to the appropriate department or staff member.
- Expense Tracking: Managing petty cash, processing procurement invoices, and tracking expenses.
- Maintain up-to-date personnel files and HR databases.
- Track employee attendance, leave, and performance evaluations.
- Prepare employment contracts and ensure all documentation is complete.
- Address employee inquiries and concerns professionally.
- Facilitate conflict resolution and maintain a positive work environment.
- Software Management: Using office software like Microsoft Office, Google Workspace, or specialized tools for scheduling, data management, or communication.
- Travel Arrangements: Booking flights, hotels, and transportation for team members or executives.
- Onboarding Support: Assisting with new employee orientation and training materials.
- Event Coordination: Planning and organizing company events or team-building activities.
- Project Assistance: Supporting specific projects, such as research, marketing, or operations.
- Compliance: Ensuring adherence to company policies, filing necessary documents, and maintaining confidentiality.
- Adapt to new challenges and learn new skills
- Perform other tasks requested by the project. as required.
Qualifications and Skills:
- Bachelor’s degree in human resource management, Business Administration, Public Administration, or a related field
- Knowledge of Rwandan labor law.
- Strong group facilitation and training skills.
- Ability to use smart mobile phone applications
- Computer literate in Word, PowerPoint point and Excel software.
- Strong organisational and multitasking skills.
- Excellent verbal and written communication in English and Kinyarwanda (French is a plus).
- High attention to detail and discretion in handling confidential information
- Ability to work independently and collaboratively in a fast-paced environment
- Strong interpersonal skills and ability to manage conflicts
- Problem-solving and decision-making capabilities
- Fluency in English and Kinyarwanda.
- Women candidates are encouraged to apply.
Working experience:
- At least 3-5 years of experience in administrative and human resource roles, preferably in Rwanda
