Terms Of Reference For Hiring Service Provider To Manage Fawe Rwanda Website And Social Media
1. Background
The Forum for African Women Educationalists (FAWE) is a membership-based Pan-African Non-Governmental Organization that operates through 34 National Chapters in 33 countries in Sub-Saharan Africa to promote girls’ and women’s education. FAWE was founded in 1992 and has its head office in Nairobi – Kenya. FAWE’s vision, mission and goal focus on quality education for girls and women. FAWE Rwanda is one of 34 National chapters. FAWE Rwanda Chapter was started in 1997 by a group of Rwandan women whose common goal was to build the country and promote national development through girls’ and women’s education. Since its inception, FAWE Rwanda has grown to become a reputable partner and focal point on female education in Rwanda.
It is in this regard that FAWE Rwanda is seeking to recruit a reputable firm to provide the following services for a period of one-year renewable upon satisfactory performance. These services are:
• Manage, maintain and update FAWE Rwanda Website and Social media platforms
• Videography and Photography for all organized events

2. Tasks And Responsibilities

1. Website management and backups
2. • Organise and update website content with latest information, pictures and videos
• Coordinate with the program Coordinator and the Communication Officer in managing the blog page for testimonies and success stories
• Monitor and protect FAWE Rwanda Website against threats
• Share monthly report of the Website performance by highlighting metrics such as unique visitors, new users, returning users and bounce rate.
• Production of infographics and other data visualization materials
• Create secure backups of the Website

• Twitter background
• LinkedIn profile
• Instagram photo editing
• YouTube Channel Background design

4. Photography and videography
• Attend all FAWE Rwanda events and take high resolution photos and videos and post them on our Website
• Produce high resolution photos and videos and post them on various media platforms
• Produce high resolution images and requested videos for specific stories/success stories and events gathered from the field to be posted on our website and social media platform
• Share with FAWE Rwanda the raw materials for archives
• Conduct short interviews with FAWE stakeholders to post on social media when required
• Produce annual and other FAWE documentaries when required
• Provide livestreaming services when needed

3. Required Expertise:
• Experience in managing Websites and Social Medias for Non-Governmental Organizations (NGOs)
• Expertise on leading livestream for high level events
• Expertise in conducting innovative, creative and quality media productions in various aspects of shorts impact videos, documentary making, events coverage
• Knowledge of best practices for social media platforms such as Facebook, Twitter, Instagram, LinkedIn, etc
• Professional photography and graphic designing: show the portfolio of work completed in photography and graphic design
• To be a registered company in Rwanda
• Knowledge of NGOs standards in terms of video production, photography, website and social media platforms management
• Ability to capture, analyse and document the essence of a discussion
• Good communication skills with fluency in English, French and Kinyarwanda

4. Required Documents For Application
1. Company profile (not more than 1 page)
2. Company Registration Certificate in related field from RDB
3. Tax Clearance
4. CVs of staff with the relevant experience and qualification
5. Samples of documentaries (videos), infographics and photos produced or links to access them (at least 2 references/ certificates of good completion)
6. Proof of similar work completed for managing Websites, social media and organizations’ emails (at least 2 references for similar work completed in reputable Organizations in Rwanda/certificates of good completion)
7. Technical proposal clarifying the methodology and the responsibility of technical staff.
8. Financial proposal in Rwandan Francs (all tax included) for performing the tasks and responsibilities above mentioned for one year.

Submission Procedure
Interested candidates should submit their bidding documents (2 hard copies: original and copy) to FAWE Rwanda Headquarters in REB Premises Remera not later than 01st March 2023 at 4:30pm. The technical proposal and the financial proposal should be submitted separately in well-sealed envelopes. The original documents shall be submitted in the office room number 2 whereas the copies will be submitted in the office room number 6.
