1. Role Summary

The accountant supports Ecofleet’s Finance Department by maintaining accurate financial records, processing daily transactions, and assisting in financial reporting, reconciliation, and compliance activities. Working under the supervision of the Senior Accountant, the role contributes to strong internal controls and efficient financial operations essential for Ecofleet’s strategic and operational goals.

2. Scope of the Role

  • Maintain accurate and timely financial records for all operational and administrative activities.
  • Support monthly, quarterly, and annual closing processes.
  • Ensure adherence to internal controls, accounting standards, and compliance requirements.
  • Assist in audit preparations, budgeting processes, and financial data analysis.
  • Provide reliable financial information to support decision-making within the Finance department.

3. Key Responsibilities

a) Financial Processing & Record Keeping

  • Record daily financial transactions into the accounting system.
  • Prepare and post journal entries under the Senior Accountant’s supervision.
  • Maintain accurate general ledger accounts.
  • Ensure supporting documents are properly organized, filed, and retrievable.

b) Reconciliation & Reporting Support

  • Perform bank reconciliations and petty cash reconciliations.
  • Reconcile vendor statements and customer accounts.
  • Support month-end, quarter-end, and year-end closing activities.
  • Assist in preparing financial schedules and reports for review.

c) Compliance & Internal Controls

  • Ensure all financial transactions comply with internal policies and accounting standards.
  • Support the preparation of tax declarations and statutory submissions.
  • Assist in implementing internal control procedures to strengthen compliance.

d) Audit & Budget Support

  • Prepare supporting documentation for internal and external audits.
  • Assist in gathering data for budget preparation and financial forecasting.

e) Other Duties

  • Support process improvements and system enhancements within the Finance department.
  • Perform any additional accounting duties assigned.

4. Indicators of Success

  • Accurate and timely posting of financial transactions and reconciliations.
  • Clean, well-maintained general ledger accounts and documentation.
  • Timely completion of month-end and year-end close tasks.
  • High-quality financial schedules and audit-ready documentation.

  • Senior Accountant – Direct supervision and task oversight.
  • CFO – Support on reporting, budgeting, and compliance matters.
  • Finance Team – Coordination for transaction processing and reconciliation.
  • Operations, People & Culture, Procurement, Sustainability & E Mobility, Digital, and Administrative Teams – Clarification of supporting documents, vendor issues, and financial verifications.

External

  • Banks and financial institutions.
  • Suppliers, service providers, and customers for reconciliation and documentation follow-up.
  • External auditors and regulatory authorities.

8. Qualifications & Experience

Minimum:

  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
  • At least 3 years of experience in accounting or financial operations.

Preferred:

  • Experience in transport, infrastructure, public sector, or government institutions.
  • Familiarity with accounting software (e.g., Sage, QuickBooks, or ERP systems).
  • Knowledge of tax regulations and financial compliance in Rwanda.
  • Progress toward a professional accounting certification (CPA or ACCA) is an added advantage.
  • Maintain accurate and timely financial records for all operational and administrative activities.
