Role Description

The administration and finance officer (AFO) is responsible for assisting the senior administration and finance officer (SAFO) to achieve or exceed the annual goals for the HOPE Advancement (Rwanda) office in Kigali (CSU Kigali), by verifying the effectiveness of internal controls and ensuring compliance with the standard financial and administration procedures. In addition, the AFO will carry out the administration function as part of their core responsibility to the office.

Responsibilities

Promote and contribute to the fulfillment of HOPE International’s mission and vision

Spiritual Integration and Christian Witness

Actively participate in weekly devotions, monthly meetings, and annual retreats for HOPE staff in order to maintain a focus on the program’s Christ–Centered mission and to promote spiritual balance within family, work, and church life through the adoption of Biblical, personal, and spiritual disciplines

Financial Management

  • Engage in training of HOPE CSU Kigali team on daily financial procedures such as purchase requests, advances, and expense reporting
  • Manage vendor relationships and payment of office expenses
  • Assist with the management of cash needs and handle the tracking of expenditures
  • Assist SAFO in the external audit process
  • Help provide support to HOPE CSU Kigali staff as needed
  • Prepare HOPE CSU Kigali daily bookkeeping and accounting records in NetSuite

Administration

  • Make sure all filing duties are properly conducted
  • Assist with organizing logistics for retreats, meetings and visitors
  • Assist the SAFO in keeping office supply inventory and accurate reporting of stock on a regular basis
  • Record and regularly follow up on payments, (rent, tax, insurance, bills, etc.)
  • Maintain and regularly update the fixed assets register
  • Maintain and regularly update communication lists
  • Actively participate in improving HOPE processes and procedures by developing and making recommendations, finding innovative solutions, cutting costs, working more efficiently, etc.

Compliance

  • Maintain thorough knowledge of all operational and financial manuals and ensure full compliance with established standards
  • Ensure all reporting tools are fully understood and fully utilized
  • Assist SAFO in local tax compliance filings and payments
  • Follow up on audit findings to ensure that audit recommendations are implemented in a timely manner
  • Check and confirm the status of the closed internal audit issues

Other Responsibilities

Perform other duties as requested by the managing director and SAFO

Qualifications

  • Personal confession of Christian faith and commitment to the mission and vision of HOPE International
  • Qualifying for a university degree in Finance, Accounting, Administration, or similar field study
  • Minimum of 2-4 years working in a related finance position
  • Excellent understanding of cross-cultural communication, workplace relationships, and the ability to communicate well with others
  • Hard worker and resilient
  • Highly organized and detail-oriented, yet flexible
  • Self-starter with demonstrated ability to work independently as well as in collaboration with a team
  • Fluent in spoken and written English and Kinyarwanda
  • Excellent computer skills including but not limited to the Advanced Microsoft Office package
  • Knowledge of NetSuite is a plus
  • Willingness to learn
