Job Description

The Job holder will Coordinate and oversee administrative duties of the Directorate while providing high-level support to the Executive Director. This includes managing schedules, organizing meetings and missions, handling correspondence, and ensuring efficient day-to-day operations of the Directorate.

Job Responsibilities

  • Manage the Executive Director’s calendar and appointments.
  • Schedule and coordinate meetings on behalf of the Executive Director.
  • Monitor and follow up on correspondences through the Electronic Data Management System (EDMS).
  • Draft and prepare correspondence on behalf of the Executive Director
  • Ensure compliance with the Delegation of Authority Guidelines and the Citizen Charter.
  • Ensure adherence to the Bank’s House Style Manual in all communications.
  • Maintain proper archiving and an up-to-date filing system as custodian of documents within the Directorate.
  • Coordinate both physical and virtual meetings for the Executive Director.
  • Ensure appropriate protocol is followed for internal and external guests, in coordination with the Security and Protocol team.
  • Receive and relay messages in a timely and professional manner.
  • Monitor and maintain adequate stock of office supplies.
  • Ensure cleanliness and order are maintained in the office and surrounding areas.

Job Requirements

  • Bachelor’s degree in Secretarial Studies, Administration or a related field.
  • 2 years of experience in a high-level administrative or executive assistant role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with document management and other administrative systems.
  • Female Candidates are encouraged to apply.
