Mission Description

Main Duties and Key Responsibilities

The Reporting Assistant within the Shared Service Center is responsible for supporting the Compliance Department, and more specifically the Deputy Head of Compliance, in carrying out a wide range of responsibilities related to monitoring and supporting the team of Compliance Officers, as well as overseeing ongoing projects and preparing reports for the Group Head of Compliance and various committees.

The purpose of this position is to assist the Deputy Head of Compliance in managing a department that oversees a broad range of strategic and engaging initiatives, including the review and enhancement of tools, process digitalization, procedure updates, and other compliance-related projects. The role also ensures that the department's activities are properly documented, tracked, and archived to support audit requirements.

More specifically, the position includes:

  • Monitoring the schedule for the preparation of various meetings and events.
  • Preparing and following up on meeting minutes following internal departmental meetings, cross-functional meetings, and project-related meetings.
  • Tracking action items agreed upon during team meetings and coordinating follow-up with other departments.
  • Drafting responses for internal and external stakeholders.
  • Preparing internal communications on specific compliance-related topics.
  • Drafting memoranda, procedures, PowerPoint presentations, and other supporting documentation.
  • Assisting the department in conducting quality reviews of program implementation, reviewing and analysing documentation, and issuing recommendations for continuous improvement.

Profile

  • Initial professional experience of 2 to 5 years in a versatile or multidisciplinary role.
  • Educational background in Audit, Internal Control, Compliance, or any other relevant field.
  • Strong curiosity, analytical and synthesis skills, attention to detail, and ability to work collaboratively within a team.
  • Excellent organizational skills, a project-oriented mindset, and the ability to meet deadlines.
  • Demonstrates autonomy, initiative, and a proactive approach to work.
  • Sound knowledge and understanding of compliance-related matters.
  • Strong communication skills, including the ability to communicate effectively in a remote environment, with fluent French and English; proficiency in an additional language would be considered an asset.
  • Excellent written communication skills in both French and English.
  • Proficient in Microsoft Office Suite, particularly Word, PowerPoint, and Excel.
