Job Purpose

The Branch Manager is responsible for the overall leadership, performance, and operational management of the branch. The role ensures portfolio growth, high-quality client service, financial discipline, and full compliance with company policies and procedures. The Branch Manager provides strong field-based leadership, supervises staff performance, safeguards company assets, and ensures sustainable branch profitability and operational excellence.

Key Responsibilities

1. Branch & Office Management

  • Identify, negotiate, and secure suitable office premises with required approvals.
  • Ensure cleanliness, maintenance, and proper functioning of the office and staff residence.
  • Manage office supplies, furniture, and operational tools.
  • Open and oversee branch bank accounts in line with authorization policies.
  • Ensure proper branch visibility and branding through appropriate signage.

2. Staff Supervision & Human Resource Management

  • Request staffing needs through proper channels and support local recruitment.
  • Manage onboarding documentation, attendance, and performance monitoring.
  • Allocate working areas and set performance targets aligned with company policies.
  • Monitor staff discipline, conduct, and productivity.
  • Support staff development and recommend training needs.
  • Approve/recommend leave and manage grievances in line with HR policies.
  • Enforce company policies, code of conduct, and reporting hierarchy.

3. Working Area & Market Assessment

  • Conduct market surveys to identify viable working areas.
  • Assess competitor presence and allocate territories effectively among Loan Officers.

4. Field Supervision & Group Monitoring

  • Participate in new group formation and verify member details.
  • Conduct regular field visits (minimum two groups per day).
  • Cross-check savings, loan disbursements, withdrawals, and collections with clients.
  • Monitor group meeting quality and staff-client interactions.
  • Follow up on absentee and delinquent clients.
  • Substitute key branch roles when required.

5. Loan & Savings Management

  • Approve loans after thorough assessment of business viability and repayment capacity.
  • Ensure compliance with loan ceilings, increment policies, and disbursement procedures.
  • Approve savings withdrawals and client exits following proper verification.
  • Supervise credit reference checks and ensure transparent disbursement processes.
  • Maintain accountability for all financial transactions.

6. Portfolio Quality & Recovery

  • Conduct daily visits to overdue and bad debt clients.
  • Implement effective recovery strategies to minimize portfolio at risk.

7. Planning & Target Achievement

  • Develop and implement client acquisition and staff deployment plans.
  • Set weekly and monthly performance targets and ensure achievement.
  • Prepare operational plans for small loans, business loans, and SME activities.
  • Maintain accurate transaction plans and data records.

8. Financial & Fund Management

  • Oversee cash withdrawals, deposits, and branch fund transfers.
  • Ensure compliance with fund holding limits and documentation requirements.
  • Assign and rotate cashier responsibilities.
  • Monitor fund balances and submit fund requests timely.
  • Cross-check cheque books, bank statements, and transaction records.

9. Administrative & Compliance Oversight

  • Enforce company rules and report policy violations.
  • Recommend disciplinary actions and staff promotions when appropriate.
  • Liaise with Head Office and relevant external stakeholders.
  • Provide required information to regulators or authorities when necessary.

10. Expenditure & Cost Control

  • Manage branch expenses within approved ceilings.
  • Facilitate purchase approvals according to procurement guidelines.
  • Approve operational bills including utilities, travel, and meeting costs.

11. Reporting & MIS

  • Prepare and submit monthly operational and financial reports.
  • Report on portfolio performance, loan defaults, savings, and fund management.

12. Accounting & System Management

  • Ensure timely updating of general ledger, cash book, and related registers.
  • Review daily collections and validate financial records.
  • Update daily transactions in the AMBS system and reconcile with manual records.
  • Maintain data security, system backups, and compliance with IT protocols.

13. Public Relations & Stakeholder Engagement

  • Build and maintain strong relationships with local authorities and community stakeholders.
  • Represent the company professionally within the branch operational area.

14. Staff Residence & Welfare Oversight

  • Supervise hygiene and management of staff residence facilities.
  • Ensure cost control and cleanliness standards are maintained.

Required Qualifications & Skills

  • Bachelor’s Degree in Business Administration, Finance, Economics, or a related field.
  • Minimum of 3 years’ experience in microfinance or branch-level financial operations.
  • Strong leadership, team management, and organizational skills.
  • Solid understanding of credit management and portfolio quality control.
  • Proficiency in MS Office and loan management systems (AMBS preferred).
  • High level of integrity, accountability, and professionalism.
  • Willingness to work extensively in the field and in upcountry locations.
