Responsibilities or duties

Manage the school office operations and ensure efficient day-to-day administrative functioning.

Maintain organized filing systems for student records, staff documents, and official correspondence.

Ensure confidentiality and secure handling of sensitive information.

Receive, draft, type, and distribute official letters, reports, emails, and other communications.

Serve as the first point of contact for visitors, parents, students, and external stakeholders.

Respond to inquiries and provide accurate information in a professional manner.

Maintain updated student and staff records, including admissions, transfers, attendance, and performance reports.

Record minutes of meetings and ensure proper documentation of resolutions and action points.

Keep registers of incoming and outgoing mail and official documents.

Provide administrative support to the Head Teacher and School Management Team.

Assist in preparing reports, presentations, and official documentation for submission to relevant authorities.

Schedule appointments, meetings, and school events.

Enter and update data in school information systems and databases.

Prepare routine statistical and administrative reports as required.

Ensure accuracy and timeliness in data submission to relevant education authorities.

Assist in processing payments, receipts, and procurement documentation where required.

Support inventory management and maintain records of school supplies and equipment.

Manage telephone calls and official communication channels.

Welcome and guide visitors according to school protocols.

Promote a positive image of the school through professional conduct.

Ensure the office environment is organized and conducive to work.

Perform any other duties assigned by the supervisor in line with the role.

Qualifications or requirements (e.g., education, skills)

1. A2 certificate in accounting

2. A2 certificate in secretary studies

Experience needed

0 Year of relevant experience for both qualifications.
