Job Summary:
Plays a critical role in providing financial analysis, planning, and management support within the finance division. The incumbent is responsible for overseeing financial operations, budgeting, forecasting, reporting and implementing financial controls to ensure compliance with regulatory requirements and organizational objectives. This role involves collaborating with other departments to create and manage budgets, monitoring expenses, identifying cost-saving opportunities, managing cash flow, and ensuring accurate and timely financial reporting. The financial management specialist collaborates with internal teams, external stakeholders, and senior management to optimize financial performance, mitigate risks, and support decision-making processes.
Key Responsibilities:
Accounting Operations:
- Coordinate recording and analysis of the books of accounts
- Verify, allocate, post and reconcile accounts payable and receivable
- Work with accountants to perform and review day-to-day accounting activities up to financial reporting
- Ensure accurate and timely recording of financial transactions, including expense allocations, revenue recognition, and asset management
- Work with Accountants to ensure all payments are done on time Financial Analysis and Planning:
- Conduct financial analysis, including variance analysis, trend analysis, and forecasting, to support strategic decision-making and resource allocation.
- Assist in the development of financial plans, budgets, and forecasts, ensuring alignment with organizational goals and objectives.
- Monitor financial performance against budgeted targets, identifying areas of concern and recommending corrective actions as needed.
Financial Management and Controls:
- Oversee financial operations, including accounts payable, accounts receivable, payroll, and treasury functions, to ensure accuracy, efficiency, and compliance with regulatory requirements. § Implement financial controls, policies, and procedures to safeguard assets, minimize risks, and maintain internal controls over financial reporting.
- Conduct regular reviews of financial processes and systems, identifying areas for improvement and implementing enhancements to optimize efficiency and effectiveness.
- Verify, allocate, post and reconcile accounts payable and receivable
- Work with accountants to analyze receivable accounts to identify long outstanding receivables and recommend appropriate action to be taken;
- Liaise with the Division Manager Finance to improve financial procedures;
Contribute Budget preparation and Management:
- Collaborate with departmental managers to prepare and manage budgets, providing guidance on budget development, monitoring, and reporting.
- Monitor and control expenses, tracking spending against budgeted allocations and identifying opportunities for cost savings and efficiency improvements.
- Prepare budget variance reports and provide analysis to senior management, highlighting key drivers and recommending adjustments as necessary.
- Prepare periodic budget execution reports, monthly, quarterly and annually;
Cash Flow Management:
- Manage cash flow forecasts and projections, ensuring adequate liquidity to meet operational needs and financial obligations.
- Monitor cash inflows and outflows
- Coordinate with treasury functions to execute cash management activities, including investments, borrowing, and liquidity management.
Financial Reporting and Compliance:
- Ensure accurate and timely financial reporting in compliance with regulatory requirements, accounting standards, and internal policies.
- Prepare financial statements, reports, and disclosures, reviewing for accuracy, completeness, and compliance with applicable regulations.
- Liaise with external auditors, regulatory agencies, and internal stakeholders to facilitate audits and ensure regulatory compliance.
- Produce error-free accounting reports and present their results
- Analyze financial information and summarize financial status
- Review reconciliation of bank accounts on monthly basis, vendor accounts, Customers accounts, and other balance sheet accounts on a regular basis to ensure accuracy and integrity of financial records
- Work with Accountants to ensure compliance with month-end and year-end close process Financial Documentation and Recordkeeping:
- Maintain organized and up-to-date financial records, files, and documentation in accordance with recordkeeping policies and retention schedules.
- Ensure the proper filing, storage, and archival of financial documents, vouchers, invoices, receipts, and other financial records.
Stakeholder Collaboration:
- Collaborate with internal departments, external stakeholders, and senior management to provide financial insights, analysis, and recommendations to support decision-making processes.
- Communicate financial results, forecasts, and recommendations to stakeholders through presentations, reports, and meetings, fostering transparency and accountability.
Required Qualifications:
Education and experience:
- A Master's Degree in accounting or Finance
Or
- Minimum of a Bachelor's degree in Finance, Accounting with at least 3 years of relevant experience.
- professional qualification such as ACCA, CPA is s an added advantage. Skills and competencies § Strong understanding of financial analysis, budgeting, forecasting, and reporting principles, with proficiency in financial modeling and analysis tools.
- Knowledge of regulatory requirements, accounting standards, and financial controls applicable to governmental or regulatory agencies.
- Excellent analytical, problem-solving, and decision-making skills, with the ability to interpret complex financial data and provide actionable insights.
- Proficiency in financial management software, ERP systems, and Microsoft Office Suite (Excel, Word, PowerPoint).
- Strong communication and interpersonal skills, with the ability to collaborate effectively with diverse stakeholders and influence decision-making processes.
- Ability to work independently, manage multiple priorities, and meet deadlines in a fast paced, dynamic environment.
- Commitment to professionalism, integrity, and ethical conduct in all aspects of financial management and reporting.
