About the Role

This role is responsible for the accurate, timely execution of core HR administration across SOUK Farms, including recruitment support, personnel records, payroll preparation, and leave management. You will also own the collation of performance data across teams.

This is a hands-on execution role rather than a strategic HR position. We are looking for someone who is precise, organised, and reliable, and who takes ownership of getting things done on time, every time.

What You'll Do

  • Maintain complete, accurate, and audit-ready personnel files for all employees.
  • Prepare and issue employment contracts, onboarding documentation, and orientation materials for new starters.
  • Support recruitment administration, including scheduling interviews, coordinating shortlisting, and conducting reference checks.
  • Prepare and submit accurate payroll input data to Finance on a monthly basis.
  • Process leave requests and maintain accurate, up to date leave records.
  • Collate weekly and monthly performance data from department heads and team leads, and consolidate this into a single report for the People & Culture Manager.
  • Support the administration of disciplinary processes, including documentation and scheduling, in line with company policy and Rwandan labour law.
  • Respond to HR administrative queries from staff and managers promptly and accurately.
  • Maintain strict confidentiality on all personnel, performance, and disciplinary matters.

What We're Looking For

  • Diploma or degree in Human Resource Management, Business Administration, or a related field.
  • Minimum 3 years of hands-on HR administration experience, ideally including exposure to performance management and disciplinary processes.
  • Working knowledge of Rwandan labour law as it applies to contracts, leave, and disciplinary procedure.
  • Strong organisational skills and high attention to detail.
  • Proficient in Microsoft Office (Excel and Word); experience with HR or payroll systems is an advantage.
  • Discreet, trustworthy, and comfortable handling confidential information.
