Summary Description:
The Archivist is responsible for managing the bank's archives, ensuring the collection, classification, preservation, and retrieval of documents in accordance with archiving procedures. He/She contributes to the promotion of the institution's documentary heritage.
Responsibilities:
- Collect, sort, and classify documents (both paper and digital) produced by the various departments of the microfinance institution.
- Implement and maintain an effective archiving system, using appropriate tools (electronic document management software, classification plans, etc.).
- Ensure the preservation of documents under optimal conditions (compliance with storage standards, security, etc.).
- Facilitate access to archives for authorized personnel, responding to research requests and ensuring effective communication of information.
- Participate in the digitization of documents and the management of electronic archives.
- Ensure compliance with regulations regarding archiving and data protection.
- Train and raise staff awareness of best practices in managing current records.
- Participate in the development and updating of finding aids (repositories, indexes, etc.).
- Participate in promoting the archives, for example by contributing to the preparation of exhibitions or publications.
Expected Results:
- Mastery of archiving, classification, and records management techniques.
- Knowledge of electronic document management (EDM) tools.
- Rigor, organizational skills, and methodical approach.
- Interpersonal skills and ability to work in a team.
- Discretion and respect for confidentiality.
- Good command of computer tools.
Minimum Experience and Qualifications
Must have at least:
- A Bachelor's degree in Secretarial Studies, Business Administration, Management, or a related field.
- Minimum of 2 years of experience in a similar position.
- And must be able to speak and write fluently in French (mandatory), English, and Kinyarwanda.
