About the Role
The Procurement Officer – Farm Operations will be responsible for sourcing and procurement of materials, equipment, consumables, and operational requirements supporting farm production activities. The role ensures timely procurement of farm-related items while maintaining cost efficiency, supplier accountability, and operational continuity across Kivu Choice’s aquaculture production activities.
Key Responsibilities
1. Farm Operational Procurement
- Manage procurement of farm operational materials including nets, ropes, cage accessories, fish handling equipment, tools, PPEs, and production consumables.
- Support sourcing of materials required for cage farming, hatchery, feeding, fish handling, and production operations.
- Ensure timely procurement and delivery of farm operational requirements.
- Coordinate emergency and urgent procurement requests to minimize operational downtime.
2. Supplier Management & Sourcing
- Source and evaluate suppliers for farm operational materials and services.
- Obtain quotations, negotiate pricing, and ensure cost-effective procurement.
- Maintain strong supplier relationships and monitor supplier performance.
- Coordinate with local and international suppliers to ensure timely delivery.
3. Procurement Coordination & Inventory Support
- Work closely with warehouse and farm teams to monitor stock levels and replenishment requirements.
- Coordinate with requesting departments on material specifications and delivery timelines.
- Support inventory planning and procurement forecasting for farm operational items.
- Follow up on deliveries and ensure proper documentation during receiving.
4. ERP & Procurement Process Management
- Create and manage Purchase Requests (PRs) and Purchase Orders (POs) in ERPNext.
- Ensure procurement records and supplier documentation are properly maintained.
- Track procurement progress from request to delivery completion.
- Ensure compliance with procurement procedures and approval workflows.
5. Reporting & Compliance
- Maintain accurate procurement records and procurement trackers.
- Support audit readiness through proper documentation and filing.
- Prepare procurement summaries and operational reports where required.
- Ensure procurement activities comply with company procurement policies.
Key Requirements
- Bachelor’s degree in Procurement, Supply Chain, Logistics, Engineering, Agriculture, or a related field.
- Minimum of 3–5 years’ experience in procurement or operational sourcing.
- Experience in agriculture, aquaculture, manufacturing, or industrial operations is an advantage.
- Strong negotiation and supplier management skills.
- Knowledge of ERP systems, preferably ERPNext, is an added advantage.
- Strong organisational, communication, and follow-up skills.
- Ability to work in a fast-paced operational environment.
